ADS Operations Coordinator

POWER Engineers is currently seeking an Operations Coordinator for our growing Advisory Services Business Unit (ADS). This is a professional-level position that is unique within POWER and reports to the ADS Business Unit Director (BUD). This role requires the ability to lead, develop and organize proposal and related content efforts, provide Technical Writing support for projects on an as-needed basis and produce high-quality processes that support working in a fast-paced, deadline-driven environment for all Advisory Services Departments. This position has the potential to turn into a department manager role as the business unit expands.

The ideal candidate should have outstanding communication talents, a keen eye for detail, sales and positioning knowledge, excellent project management skills, and the ability to anticipate a variety of needs while managing concurrent work streams and approach each initiative with a positive can-do attitude. Candidates may be located in any mutually agreeable location.

Roles and Responsibilities

Proposal Coordination:

  • Coordinate and manage the development of proposals, statements of qualifications, presentations, and other related materials in coordination with the Corporate Marketing ADS liaison

  • Work with ADS Advisors and the project team to gather appropriate material/information needed to meet the requirements of the RFP

  • Consolidate team member input into clear and meaningful responses

  • Assemble and package proposals/documents from inception through final product

  • Assure all information is accurate and in compliance with all RFI/RFP response requirements per brand guidelines

  • Provide timely entry of accurate and complete client and opportunity information in Dynamics CE CRM

  • Special Project Assignments as directed by BUD

Technical Writing:

  • Work with ADS Advisors on project deliverables including reports, presentations, and other written documents to ensure compliance with the Chicago Manual of Style, AP Stylebook, or other style guides as needed

  • Coordinate with Advisors on the quality process to ensure appropriate reviews are completed to ensure report content integrity

  • Ability to turn the writings of many collaborators into a single cohesive voice throughout a document/deliverable without impacting the overall technical content or message

Process Development and Organization:

  • Work with ADS leadership and other Functional Service Leaders at POWER to develop and document ADS project delivery processes including Proposal Development, Project Set up, Project Delivery, Quality Management, and Project close-out in line with POWER corporate policy and procedures

  • Work with ADS Leadership to set up and maintain the ADS SharePoint site

Required Education/Experience

  • Bachelor’s degree, with preference for majors in English, technical writing, journalism, or similar

  • 5+ years of experience with grant writing or technical writing

  • 3+ years of experience with proposal writing

  • High degree of self-motivation, initiative, and follow-through

  • Demonstrated ability coordinating cross-functional teams to a successful outcome

  • Effective time management in a fast-paced, deadline-driven environment

  • Ability to handle multiple assignments and prioritize tasks based on shifting needs

  • Excellent writing, editing, and communication skills using the English language across a variety of media

  • Expertise with Microsoft 365 applications including Word, PowerPoint, and OneNote

  • Proficient in other MS Office and Adobe software

  • Understanding of client relationship databases, specifically Microsoft Dynamics 365 Customer Engagement (CE)

  • Experience with search techniques in a database environment

  • Familiarity with and interest in AI content generation and strategy best practices and challenges

  • Willingness to put in the required amount of time (including overtime as needed) to complete project tasks on time

  • Willingness and desire to learn/obtain new skills and abilities to improve ADS BU operations

  • A desire to be challenged!

Desired Education/Experience

  • Experience working with an ISO-9001-compliant Quality Management System

  • Engineering consulting/technical or energy industry experience

  • Knowledge of SharePoint, MS Teams, Power BI, and using Copilot or other AI Chatbots

  • APMP Foundation Level Certification

  • Advanced degree

POWER is a fun engineering firm. That might seem contradictory to some, but it works for us!

Base Salary Range: $65,000.00 - $105,000.00 per year

The range for this position is being displayed in compliance with all state and local regulations. Salaries are set based on a number of factors to include an individual's job-related knowledge, skills, experience, and education. This means that no two candidates are alike. The range provided above does not include additional compensation such as bonus, health benefits, vacation, 401(k) match, etc.
